Take ownership of core finance and administration functions in a high-trust role supporting a growing international wholesale business in the food import and distribution sector. You’ll be the central hub for financial operations and cross-functional coordination, ensuring smooth, compliant processes across trade finance, logistics, and internal support functions.

About the Role

Reporting to the business owner, you’ll be the trusted go-to for accounts and administration in this small, established, and growing SME. Your responsibilities will cover accounts receivable/payable, payroll, reconciliations, supplier payments, and working with freight forwarders, customs brokers, and banking partners.

You’ll also oversee critical documentation related to international trade finance and import logistics, working with internal sales and warehouse teams to ensure accurate record-keeping and accountability across the supply chain.

This role is ideal for someone who enjoys structure and precision but thrives in a dynamic environment where initiative is appreciated.

Your Key Responsibilities

  • Manage accounts payable, receivable, payroll, and bank reconciliations using Xero

  • Track and follow up on outstanding receivables with the sales team

  • Process supplier payments and perform triple reconciliations (banks, suppliers, forwarders)

  • Coordinate documentation for international freight, trade finance, and customs clearance

  • Liaise with external accountants, freight forwarders, and customs brokers

  • Maintain supplier records, internal reporting, and admin systems

  • Monitor stock-related processes in collaboration with warehouse operations

  • Provide strong, clear, and proactive communication with all stakeholders

What You’ll Bring

  • 5+ years’ experience in office, finance, or admin roles, ideally in wholesale, import, or distribution

  • Proficient in Xero and across Australian bookkeeping standards

  • Skilled in multi-party reconciliation and attention to detail in transactional processes

  • Familiarity with trade finance procedures, preferably including CBA platforms

  • Experience handling import/export documentation and logistics coordination

  • Assertive, mature, and organised with a proactive, hands-on mindset

  • Confident communicating with both internal teams and external providers
